Key Responsibilities
- Executive Support: Act as a central liaison for site leadership. Manage complex Outlook calendars and provide comprehensive support to various department heads.
- Meeting & Event Logistics: Organize meetings and conferences from start to finish, including room bookings, AV setup, materials, and catering coordination.
- Travel & Expenses: Manage travel arrangements and process expense reports efficiently via Concur for multiple leaders.
- Office Operations: Oversee the reception area, greet visitors, manage badges, and handle incoming/outgoing mail (FedEx/UPS).
- Facilities & Finance: Maintain office supplies, coordinate facility maintenance, process AP invoices, and assist HR with new hire onboarding and compliance posters.
- Collaborative Partnership: Act as a thought partner to the Executive Administration Manager and provide backup support for the administrative team.
- Education: High School Diploma/GED required; 2–3 years of related administrative experience (or equivalent combination).
- Technical Skills: Proficiency in Microsoft Office with heavy emphasis on Outlook; experience with Concur is a plus.
- Communication: Exceptional verbal and written English skills; ability to interact professionally with all levels of management.
- Soft Skills: A "can-do" attitude, critical thinking skills, and the ability to pivot quickly in high-pressure situations.
- Industry Knowledge: Previous experience with Aviation terminology or a background in technical industries is a significant plus.
- Ability to work unsupervised and manage a diverse workload with strict deadlines.
- High skill set in prioritizing requests and reacting in the moment.
- Reliable attendance for daily opening/closing of the office.

- Reception: Manage front desk (phones, visitor check-ins, badges) and mail/package distribution.
- Facilities: Maintain supply inventory, oversee conference rooms, and report facility issues.
- HR & Finance: Coordinate new hire onboarding, maintain labor posters, process third-party screenings, and facilitate AP invoices.
- Teamwork: Serve as a critical thought partner to the Admin Manager and backup for other assistants.
- Agility: Master multi-tasking and reactive problem-solving in a fast-paced environment.
- Culture: Collaborate on team-building events and culture initiatives.
