Key Responsibilities
- Precision Documentation: Prepare formal minutes that are clear and consistent with specific templates (1" margins, 11 pt Arial, 1.15 line spacing).
- Attendance & Quorum: Accurately capture arrivals, departures, and roles (members vs. guests).
- Deliberation Capture: Document discussions, actions, votes, and "effective challenge"—capturing the rationale and referenced materials without personal bias.
- Confidentiality: Manage documentation for executive sessions, coordinating with Legal to ensure privileged information is handled according to policy.
- Workflow Management: Follow a standardized post-meeting timeline for draft circulation, review cycles (Presenters, Committee Secretary, Chair, Legal), and final archival.
- Record Integrity: Maintain reference materials, acronym lists, and checklists to ensure continuity across meetings.
- 3+ Years: Technical Writing & Minute Taking. Ability to synthesize complex, high-level discussions into objective summaries.
- 3+ Years: Attention to Detail. Mastery of document controls, versioning, and rigid formatting rules.
- 3+ Years: Stakeholder Communication. Professionalism to liaise with Executive Chairs, Legal counsel, and senior presenters.
- Tech Proficiency: Expert level in Microsoft Word and PowerPoint. Experience with Box/GEMS or similar document repositories.
- Prior experience in a Chief of Staff environment or supporting Board-level executive committees.
- Background in Banking or Regulatory settings.
- Certifications such as PMP or CAPM.
