Responsibilities
Key Responsibilities
- Logistics & Planning: Execute end-to-end logistics for internal and external events, including board meetings, donor receptions, and scientific symposiums.
- Stakeholder Coordination: Serve as the primary liaison between internal program leaders, executive staff, and external vendors to ensure seamless event delivery.
- Venue & Vendor Management: Research, vet, and manage relationships with sustainable vendors and venues, ensuring all contracts align with organizational policies and budget constraints.
- Administrative Excellence: Manage complex event calendars, draft invitations, and process event-related expenses with high attention to detail.
- Data & Reporting: Utilize project management systems (such as MS Planner) and CRM databases to track attendee engagement, manage RSVPs, and generate post-event impact reports.
- On-Site Support: Provide high-touch support during live events in the managing registration, audiovisual requirements, and real-time problem-solving.
- Collaborative Strategy: Assist development and leadership teams in drafting strategy briefings and preparing materials for high-priority fundraising initiatives.
- Policy Compliance: Ensure all events adhere to internal ethical standards and external legal/IRS requirements for non-profit organizations.
