Position Summary The Coordinator III provides critical on-site operational and administrative support for a large, multi-state property tax portfolio. This role is essential for ensuring the continuity of time-sensitive workstreams and compliance with statutory deadlines. The Coordinator will handle the intake and review of tax notices, support appeal workflows, and coordinate time-sensitive deliverables. Given the volume of physical documentation and the strict deadlines of property tax matters, this role requires a consistent on-site presence to maintain operational efficiency, document control integrity, and compliance readiness. Key Responsibilities Mail & Document Management: Handle, sort, and distribute high-volume incoming mail, particularly tax notices and deadline-driven correspondence. Scan, organize, and maintain documentation in accordance with established protocols. Workflow & Compliance Tracking: Run and maintain Excel-based trackers to support portfolio analysis, workflow coordination, and compliance activities. Records Maintenance: Support document retrieval and compilation from internal systems (including Image Silo, Lease systems, and TRIRIGA). Maintain audit-ready and appeal-ready records for payments and compliance activities. Reporting & Analysis: Run, distribute, and analyze reports to assist the Sr. Manager and Manager with ongoing tax portfolio evaluations. Cross-Functional Coordination: Facilitate clear, concise communication and coordinate activities across internal teams, vendors, business stakeholders, and landlords. Required Qualifications & Experience Experience: 2+ years of experience supporting a property tax portfolio or similar real estate/compliance function. Experience operating in a regulatory, deadline-driven environment is highly required. Technical Skills: High proficiency in Microsoft Office 365, with advanced Excel skills (must be highly proficient in pivot tables, basic formulas, data tracking, and reporting). Analytical Skills: Demonstrated analysis experience with the ability to manage time-sensitive deliverables with accuracy and accountability. Note: This is designated as a safety-sensitive role Education Bachelor’s degree preferred, ideally in Business, Finance, Accounting, Real Estate, or a related field; OR an equivalent combination of education and relevant work experience. Coursework or training emphasizing analytical skills, data management, or the use of Microsoft Office 365 tools is highly preferred.
