About Us We are a premier paving and concrete contracting company in the Medley/Doral area. We are seeking a reliable, self-sufficient Full-Charge Bookkeeper to take complete ownership of our front-office accounting, yard material paperwork, and field crew payroll tracking.
Core Responsibilities
- QuickBooks Ledger Ownership: Manage daily financial data entry across AP and AR subledgers within QuickBooks with absolute accuracy.
- Industrial 3-Way Matching: Cross-reference incoming vendor material invoices against original purchase orders and physical yard delivery tickets.
- Crew Payroll Administration: Collect, verify, and audit weekly manual timecards for field labor and yard crews; process deductions and track adjustments.
- GL Maintenance & Month-End Close: Post journal entries, reconcile commercial bank feeds, and prepare clean files for our outside CPA.
- AR Collections: Review accounts receivable aging logs, conduct daily commercial collection calls, and research billing discrepancies.
- Disbursements & Compliance: Execute weekly check runs, ACH payments, and wire transfers while tracking vendor compliance (W-9s/COIs).
- bilingual Office Support: Manage front-office lines, resolve vendor billing inquiries, and interface with local delivery drivers.
- Experience: 4+ years of full-cycle bookkeeping (Construction, Paving, Logistics, or Manufacturing background preferred).
- Software: strong proficiency in QuickBooks (Desktop/Online) and Microsoft Excel.
- Languages: Fully bilingual in English and Spanish (required to interface with field crews and local drivers).
- Skills: Solid grasp of 3-way matching, manual labor payroll tracking, and general ledger reconciliation.

Responsibilities
- QuickBooks Ledger Ownership: Independently drive daily financial bookkeeping, maintaining absolute accuracy across both accounts payable and accounts receivable subledgers within QuickBooks.
- Industrial 3-Way Matching: Execute rigorous 3-way matching by cross-referencing incoming vendor material invoices against original purchase orders and physical yard delivery tickets to resolve variances.
- Crew Payroll Administration: Collect and audit weekly manual crew timecards. Track direct deposits, calculate labor deductions, and input payroll adjustments cleanly into processing software.
- GL Maintenance & Month-End Close: Post journal entries to the General Ledger, run complex balance sheet and bank feed reconciliations, and compile clean, CPA-ready files for month-end period closes.
- AR Aging & Active Collections: Monitor accounts receivable aging logs, initiate daily collections calls to commercial clients, research chargebacks, and process approved credit memos.
- Disbursements & Compliance: Execute structured weekly vendor check runs, ACH payments, and wire transfers while maintaining up-to-date compliance records like W-9s and Certificates of Insurance (COIs).
