What You Will Do As the first point of contact for our patients, you will play a crucial role in their healthcare journey. Your key responsibilities will include:
- Answering the Neurology Department’s inbound telephone calls using standard greetings.
- Verifying patient demographics and insurance information at the start of every scheduling call.
- Scheduling, rescheduling, and canceling new and return patient appointments, procedures, and Radiology exams.
- Triaging calls to clinical nurses, social workers, or administrative staff according to Division policy.
- Managing prescription refill requests and obtaining necessary prior authorizations.
- Assisting with the department's e-referral work queues by reaching out to patients promptly.
- Requesting and scanning outside medical records needed for upcoming appointments.
- A High School degree and relevant experience.
- An Associates or bachelor’s degree, which is preferred.
- Previous experience in a customer service role, large ambulatory practice, or call center setting.
- Familiarity with medical terminology and health insurance processes.
- Excellent oral and written communication skills.
- The ability to work collaboratively as a team member and take direction well from management.
- This role involves sitting, speaking, hearing, and typing for over 75% of the time.
- You must have the ability to lift, carry, push, and pull up to 10 pounds for up to 25% of the time.
- The typical noise level for this remote environment is moderate.

Responsibilities
This position reports to the Patient Access Center Manager. In accordance with Departmental and Hospital policies and procedures, answers the Neurology Department’s inbound telephone calls using the Department’s standard greeting and within the established service level. This position works remote. You may be required to go onsite for training and staff development.
- Verifies patient demographics and insurance information at the beginning of each scheduling call. If there is an update required, transfers the caller to the Patient Service Center at the conclusion of the call.
- Follows Department procedure when patients call who do not yet have a BWH medical record number transferring them to the PSC for new patient registration prior to scheduling.
- Scheduling: Following Departmental and Hospital scheduling guidelines, schedules, reschedules, and cancels new and return patient appointments, Neurology procedures and Radiology exams across all Neurology divisions.
- As indicated faxes paperwork and communicates the need for a referral or authorization number per Payor guidelines. Accurately communicates date, time, and location of appointment and with which physician the patient is scheduled.
- Communication: Maintains good communication with Patients, Manager, colleagues, physicians, and others regarding call center operations and meets with the Manager to discuss strategies, policies, and problems.
