A growing international industrial company is seeking a proactive Executive Assistant / Office Administrator to report to the VP.
Key Responsibilities:
- Manage executive calendars, meetings, and global travel logistics.
- Support bookkeeping, invoice processing, and external accounting partners.
- Oversee daily office operations, vendors, and facilities.
- Assist engineering teams with shipping and logistics documentation.
- 3-5 years of administrative/office management experience (manufacturing preferred).
- MS Office skills; QuickBooks is a plus.
- Highly organized, independent, and detail-oriented.
salary: $65,000 - $70,000 per year

Key Responsibilities
Executive Support
• Manage calendars, appointments, and meeting schedules.
• Coordinate domestic and international travel, hotels, rental cars, and itineraries.
• Organize customer visits and internal meetings.
Accounting & Administrative Support
• Support invoice processing and expense reports.
• Coordinate documentation with external accounting partners.
• Assist with basic bookkeeping and administrative reporting.
• Maintain organized records for audits and corporate compliance.
Office Administration
• Manage daily office operations and reception.
• Order office supplies and coordinate vendors and service providers.
• Handle incoming and outgoing mail and shipments.
• Maintain office files and company records.
• Coordinate office maintenance and facility-related activities.

Logistics & Operations Support
• Coordinate shipments and courier services.
• Support import/export documentation when required.
• Assist service and engineering teams with travel logistics and documentation.
• Help coordinate customer service visits and installations.
Technical Skills
• Microsoft Office (Excel, Word, Outlook, PowerPoint)
• Teams and Google Zoom or similar platforms
• Experience with QUICKBOOKS systems is a plus
