Responsibilities
- Recruitment & Onboarding: Post job ads, coordinate background checks (DCF, FDLE, AHCA), perform reference checks, prep offer/rejection letters, manage onboarding paperwork, and assist with benefits enrollment.
- HR Admin & Compliance: Maintain hard-copy and electronic personnel files, ensure DCF audit compliance, update job descriptions, and track performance reviews, rescreens, and MVR checks.
- Office & Team Support: Handle general admin (filing, correspondence), delegate tasks to interns/volunteers, maintain employee directories, and manage office supplies, equipment, mail, and scan cards.
- Systems & Documentation: Oversee Zoom accounts, calendars, offsite file storage, internal manuals (handbooks, holiday schedules), and staff communications.
- Leadership Assistance: Provide general support for departmental needs and special leadership projects.
- Executive & Board Support: Provide direct administrative and scheduling support to the CEO. Prepare agendas, board packets, minutes, and event logistics for staff and board meetings.
- Culture & Operations: Coordinate employee recognition programs, appreciation events, and Fun Club initiatives. Manage DCF staff/board notifications and suggestion box submissions.
