Key Responsibilities
- Front Desk & Public Representation: Warmly greet visitors, handle incoming phone calls and emails, manage mail/deliveries, and ensure reception and shared spaces remain professional and welcoming.
- Executive & Operational Support: Manage complex executive calendars, prepare meeting materials, coordinate travel arrangements, track action items, and facilitate smooth communication across departments.
- Document Control & Compliance: Maintain physical and electronic filing systems, track contract and permit renewals, manage insurance certificates, and ensure compliance with regulatory deadlines.
- Office Administration & Vendor Management: Monitor inventory, order office supplies, manage relationships with facilities vendors, and proactively recommend process improvements to increase workplace efficiency.
- HR & Event Support: Assist with administrative tasks for new employee onboarding and coordinate company-wide meetings, training sessions, and events.
- Confidentiality: Discreetly manage sensitive employee, financial, and legal information.
- 2 years of experience in administrative roles.
- strong organizational, time-management, and multitasking abilities with high attention to detail.
- Professional communication skills (written and verbal).
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office tech.
- Demonstrated discretion and high integrity when handling sensitive information.
- Spanish Speaking Required.
