Position Overview We are seeking a highly organized and patient-focused Clinic Operations Representative to join a fast-paced outpatient clinic. In this role, you will be the first point of contact for patients, handling scheduling, registration, insurance verification, and general front-desk operations. The ideal candidate has customer service skills, a solid understanding of healthcare administrative workflows, and the ability to multitask effectively while maintaining HIPAA compliance. Note: This position may require floating to other regional outpatient centers based on coverage needs. Key Responsibilities Patient Registration & Scheduling: Schedule, reschedule, and follow up on appointments. Complete check-in/check-out processes, gather required consents, and ensure patient demographics are accurately recorded. Insurance & Billing Verification: Verify insurance eligibility, secure pre-authorizations and referrals, and ensure managed care requirements are met prior to appointments.| Payment Collection: Accurately collect and record co-payments, deposits, and outstanding balances, providing receipts and following cash control procedures. Patient Communication: Respond promptly to incoming calls, patient portal messages, emails, and fax queues, providing courteous and professional assistance. Administrative & Clinical Support: Maintain electronic and paper records, manage office supplies, keep the reception area organized, and collaborate with clinical staff to ensure seamless daily operations. Required Qualifications Education & Experience High School Diploma or GED required. Minimum of 1 year of experience in a patient-facing healthcare environment performing registration, scheduling, insurance verification, or billing. Experience in an outpatient clinic, physician practice, or patient access department is strongly preferred. Technical Skills Minimum typing speed of 35 WPM. Working knowledge of electronic medical records (EMR), scheduling systems, and Microsoft Office (Word, Excel). Ability to accurately navigate multiple systems to verify and synchronize patient information. Key Competencies Excellent customer service and interpersonal communication skills. attention to detail and accuracy when handling confidential patient data. Ability to thrive in a high-volume, fast-paced environment. Must successfully complete all required ambulatory training and competency assessments (including a mock clinic) upon hire.
