We are seeking a detail-oriented Accounts Payable Specialist to join a dynamic and fast-paced financial services organization. This role is ideal for someone who thrives in a highly accurate, process-driven environment and enjoys handling complex invoice coding and multi-entity AP functions rather than high-volume data entry.

This position supports a sophisticated global AP operation with multiple legal entities and currencies. Success in this role requires exceptional organizational skills, attention to detail, and the ability to carefully review invoice instructions, coding requirements, and email communications to ensure accuracy across all transactions.  

Ideal Candidate: The ideal candidate is a highly organized, analytical professional who takes ownership of supplier data accuracy and understands the importance of internal controls in a regulated financial environment. They are comfortable reviewing sensitive financial and tax documentation, identifying potential risks, and working collaboratively with stakeholders to resolve issues and improve processes.

Candidates who combine hands-on Accounts Payable experience with vendor master management, tax documentation, and compliance knowledge will be particularly well suited for this opportunity. Qualifications

• 3–5+ years of relevant experience in Accounts Payable, vendor master management, and supplier onboarding.
• Hands-on experience maintaining supplier master data within an ERP system.
• Working knowledge of IRS Form W-9 and W-8 tax documentation requirements.
• Experience supporting or participating in 1099 reporting processes.
• Understanding of vendor data validation, documentation requirements, and internal controls.
• Excellent attention to detail, organizational skills, and problem-solving abilities.
• Ability to work independently, manage competing priorities, and collaborate effectively across multiple departments.
• A compliance mindset with the ability to identify discrepancies, assess potential risks, and recommend appropriate solutions.

Responsibilities

• Manage the end-to-end supplier onboarding process, including new supplier setups, changes, and deactivations.
• Validate supplier information, including legal business names, tax identification numbers, Foreign Tax Identification Numbers (FTINs), banking details, and remit-to addresses.
• Ensure supplier master data is accurate, complete, properly documented, and compliant with company policies and internal controls.
• Conduct periodic vendor master audits to identify duplicate, inactive, incomplete, or inaccurate supplier records.
• Maintain supporting documentation, approvals, and audit trails in accordance with record retention policies and audit requirements.
• Perform third-party risk assessments and supplier due diligence reviews, escalating potential risks to the appropriate Compliance or Risk teams.
• Support domestic and international supplier documentation and banking validation requirements.
• Identify opportunities to streamline supplier onboarding, vendor maintenance, and compliance review processes.
• Develop, maintain, and document standardized procedures, workflows, and process controls.
