Searching for a versatile Medical Office Assistant to serve as the heart of our clinic’s daily operations. In this role, you will be the primary ambassador for our mission, acting as the first point of contact for patients and community partners while ensuring a welcoming, respectful, and HIPAA-compliant experience. You won’t just manage calendars; you will strategically match prospective patients with clinicians based on their specific specialties and skill sets to ensure the highest quality of care. This position will start out MONDAY- WEDNESDAY schedule during training (approx. 3 months with the office manager to get ramped up) and then you will got full time Monday - Friday. The hours will be 8:30am- 5pm. salary: $19.5 - $20 per hourshift: Firstwork hours: 8:30 AM - 5 PMeducation: High SchoolResponsibilities Patient Experience & Coordination: Act as the primary ambassador for the organization, ensuring a high-touch, respectful "first point of contact" for patients and community partners. Greet patients and support the patients. Most everything is done electronically prior to appointment. Managing phone lines and emails Managing client referrals Scheduling appointments with the clinicians Optimize clinician workflows by managing complex calendars and matching prospective patients with providers based on clinical specialty and fit. Streamline administrative processes by drafting SOPs and utilizing AI tools to produce polished, professional internal and external communications. Marketing: Manage the brand’s digital footprint across platforms like Psychology Today and social media, while maintaining the staff directory on the company website. Oversee the end-to-end onboarding and credentialing process for new employees and interns, ensuring a seamless transition into the team. Cultivate strategic community partnerships and maintain a comprehensive referral database to ensure continuity of care.
