We are seeking a highly organized and detail-oriented Licensing Coordinator to join our fleet management team. This role is responsible for the critical administrative task of processing title and registration paperwork for new and transferred units, as well as managing annual renewals across multiple states and branches. You will play a key role in ensuring 100% fleet compliance and operational readiness. Key Responsibilities Title & Registration Management: Create and process complex state paperwork to procure titles and registrations. Coordinate supporting documentation with domicile shops, including VIN verifications and weight slips. Compliance & Accuracy: Ensure 100% accuracy of all data (VINs, make, model, year) submitted to state and federal agencies to ensure vehicle legalization. Renewal Cycle Oversight: Manage the full renewal lifecycle: opening, sorting, and prepping notices. Ensure timely processing to incur zero penalties and guarantee that shops receive documents at least two weekends prior to expiration. Financial Documentation: Input payment information into internal systems, ensuring all receipts and fee breakdowns are accurately recorded. Stakeholder Support: Act as the primary point of contact for internal and external customers regarding the status of licenses and permits for assigned states. Tax Administration: Depending on assigned state coverage, manage additional processing for sales tax and/or personal property tax payments. Qualifications Data Integrity: Exceptional attention to detail; experience handling VINs or complex alphanumeric data is highly preferred. Organization: Proven ability to manage strict deadlines and high-volume paperwork cycles. Communication: Customer service skills with the ability to provide clear status updates to various departments. Technical Skills: Proficiency in data entry and basic office software (Microsoft Office Suite). Receipt of renewal documents delivered to shops allowing two full weekends to install prior to expiration.
