Proven track record in meticulously preparing and maintaining executive documentation, resolving complex operational and scheduling discrepancies, and managing rigid travel, calendar, and project deadlines with absolute precision. Exceptional at coordinating intricate executive scheduling requests and maintaining seamless, professional communication between leadership, internal staff, and external stakeholders to ensure organizational readiness. Process Administrative & Clerical Tasks: Handle core clerical duties including sorting incoming mail, managing expense reports, scanning and filing documents, drafting standard emails, and maintaining organized office filing systems. Support Board Governance: Prepare agenda packets, record accurate meeting minutes, track action items, and manage communication for the non-profit's Board of Directors. Coordinate Travel & Logistics: Plan and book travel arrangements, accommodations, and itinerary logistics for regional outreach, fundraising conferences, and local site visits across Jefferson County. Field Communications & Inquiries: Serve as the primary administrative point of contact for external stakeholders, screening incoming calls, managing general email inquiries, and welcoming visitors to the non-profit's office. Draft & Edit Documents: Create, proofread, and format official correspondence, grant reports, board presentations, and internal memo documents to ensure professional alignment with the non-profit's mission.
