Role Overview We are seeking a highly organized and proactive Administrative Coordinator to support our daily operations and facility management processes. In this role, you will serve as the central hub for communication, dispatching, and record-keeping. The ideal candidate will be detail-oriented, capable of managing multiple work order systems, and comfortable coordinating with internal teams and external vendors to keep our operations running smoothly. Key Responsibilities Work Order & Dashboard Management Daily & Project Work Orders: Process, track, and manage all daily maintenance requests and specialized project work orders from initiation to completion. Dashboard Maintenance: Continuously update and maintain both the Daily Work Order Dashboard and the Weekly Preventive Maintenance (PM) Dashboard to ensure real-time visibility of facility operations. EOC Compliance: Manage work orders generated from weekly Environment of Care (EOC) rounds, ensuring all safety and compliance tasks are documented and resolved. Specialized Task Routing: Promptly assign and route specialized facility tickets, including temperature and humidity control work orders, routine elevator inspection rounds, and graffiti removal requests. Coordination & Vendor Relations Vendor Scheduling: Act as the primary liaison for external contractors, scheduling vendors for necessary equipment and facility repairs. Service Requests: Draft, create, and submit Service Maintenance Requests (SMRs) accurately and efficiently. Visual Management: Update and maintain the physical scheduling and operations board located in the main office to ensure the team is aligned on daily priorities. General Administration & Inventory Front Desk Operations: Serve as the first point of contact by answering incoming phone calls, addressing inquiries, and routing calls to the appropriate personnel. Inventory Tracking: Perform accurate data entry to update and maintain the equipment inventory logs.
