What You’ll Be Doing (The "Groundwork"): In this role, you aren't just pushing paper, you are the heartbeat of our vendor relationships. You will:
- Balance the Books: Reconcile vendor statements to ensure every invoice is accounted for and accurate.
- Build Relationships: Chat with our vendors (in English and Spanish!) to resolve discrepancies and keep things growing smoothly.
- Master the Calendar: Manage due dates like a pro to ensure our suppliers are paid on time, every time.
- Digital Money Moves: Execute ACH and wire transfers while keeping our records organized and audit-ready.
- Fraud Prevention: Use Positive Pay systems to keep our accounts safe and secure.
- The Full Cycle: Process check runs, manage payment vouchers, and track outstanding liabilities through aging reports.
- Experience: 3+ years of solid Accounts Payable experience.
- Linguistic Skills: Must speak fluent English and Spanish to communicate effectively with our diverse vendor base.
- Tech Savvy: Proficiency in Microsoft Excel and accounting systems.

Responsibilities
Key Responsibilities:
• Reconcile vendor statements to ensure all invoices are received and recorded accurately
• Communicate with vendors to resolve discrepancies and obtain missing invoices or documentation
• Monitor and manage invoice due dates to ensure timely payments
• Prepare and review aging reports to track outstanding liabilities
• Process check runs, including printing and organizing payments
• Enter issued checks into the Positive Pay system for fraud prevention
• Execute online payments (ACH, wire transfers) and maintain proper documentation
• Prepare and print ACH payment reports as needed
• Accurately enter all payment vouchers, including approved credit card transactions
• Maintain organized records of all payments and supporting documentation
