Responsibilities
- Financial Processing: Accurately process Accounts Payable (AP) invoices and manage the downloading, filing, and processing of bank statements, loan statements, and utility billings.
- Vendor Relations: Act as a primary point of contact for vendors; obtain, review, and validate compliance documentation for both new vendor onboarding and annual renewals.
- Communication: Maintain professional daily email correspondence with internal departments and external partners to ensure seamless financial workflows.
- Office Administration: Manage incoming and outgoing mail at the Los Gatos office and maintain organized digital and physical filing systems.
- Data Integrity: Ensure all financial records are kept up-to-date and meet company standards for audit-readiness and accuracy.
- Experience: Previous experience in an accounting support or administrative role, ideally within the real estate or investment sector.
- Technical Skills: Proficiency in CRM systems and/or accounting software is highly preferred. Competency in the Microsoft Office Suite (Word, Excel, Outlook) is required.
- Organizational Skills: Exceptional attention to detail with the ability to manage multiple tasks and deadlines efficiently.
- Communication: Verbal and written communication skills with a focus on high-quality customer service and professional vendor relations.
- Location: Must reside within commuting distance of Los Gatos, CA, to manage on-site administrative responsibilities.
