About the Role This company is a small, established technology company specializing in networking hardware solutions. They are seeking a detail-oriented Sales Administrator to act as the backbone of their sales operations.
Note: This is not a commission-based sales role. It is a vital administrative support position for someone who excels at accuracy, data entry, and cross-departmental teamwork.
Key Responsibilities
- Order Management: Accurately enter customer orders into NetSuite. Review incoming purchase orders for pricing, completeness, and shipping details.
- Quoting & Support: Prepare and revise customer quotes independently and assist Sales Representatives with administrative tasks, account research, and projects.
- Communication: Serve as a reliable contact for customers regarding order confirmations, tracking, and backorder ETAs. Partner with Warehouse, Purchasing, and Operations to resolve issues quickly.
- Data Maintenance: Maintain accurate customer records in NetSuite and process approved Return Authorization (RMA) requests.
- Workflow Optimization: Use MS Office, Teams, and approved AI-assisted tools to streamline daily tasks, using strong judgment to verify AI-generated data.
- Experience: Background in sales administration, sales support, order processing, or customer service.
- Excel Skills: strong proficiency in Microsoft Excel. Experience in formulas, pivot tables, lookups, and sorting/filtering structured data is preferred.
- Systems: Experience with CRM/ERP systems; NetSuite experience is a major plus.
- Tech-Savvy: Proficient with MS Office and comfortable utilizing AI-assisted tools to improve efficiency.
- Attributes: High attention to detail, strong written/verbal communication, and the ability to multi-task. Comfortable asking clarifying questions to prevent errors.

Key Responsibilities
- Accurately enter customer orders into NetSuite based on customer purchase orders and sales instructions
- Review incoming orders for accuracy, completeness, pricing, shipping details, and special instructions
- Prepare customer quotes independently when appropriate and assist Sales Representatives with quote preparation, revisions, and follow-up
- Communicate with customers regarding order acknowledgements, ship dates, backorder ETAs, tracking information, and order-related questions
- Coordinate with Sales, Warehouse, Purchasing, and Operations to help resolve order or quote issues quickly
- Maintain customer and contact records in NetSuite and assist with account updates
- Support assigned Sales Representatives with customer/account research, sales-related projects, and administrative tasks
- Process customer Return Authorization requests after internal approval has been obtained
- Use Microsoft Outlook, Teams, Excel, NetSuite, and approved AI-assisted tools to support daily workflow
- Maintain accuracy and good judgment when using AI-assisted tools; verify information before relying on or sharing it
