We are seeking a sharp, proactive Customer Service & Logistics Coordinator. In this fast-paced role, you’ll serve as the critical bridge between our international and domestic customers, the warehouse team, and major freight carriers.
Must-Have Requirements:
- Language: Fully fluent in English and Spanish (written and verbal).
- Experience: 1–2+ years of direct experience in a logistics, shipping, freight forwarding, or supply chain environment.
- Tech & Specs: Familiarity with scheduling carriers (FedEx, DB Schenker, etc.) and handling shipping documentation like Bills of Lading (BOL).
- Order & Billing Management: Efficiently enter, process, and track customer orders from placement to delivery. Review shipping documents to ensure 100% accurate invoicing.
- Client Support: Act as the primary point of contact for English and Spanish-speaking accounts. Provide daily transit updates, tracking numbers, packing lists, and price quotes.
- Shipment Coordination: Schedule freight moves, arrange carrier pick-ups/drop-offs, and monitor load statuses to ensure on-time delivery.
- Warehouse Liaison: Work hand-in-hand with the warehouse team to ensure orders are picked, packed, and shipped daily without delay.
- Problem-Solving: Proactively tackle transit delays, carrier hiccups, and customer freight complaints to keep operations moving smoothly.

Order Management & Billing
- Invoicing & Processing: Review shipping documents to ensure accurate invoicing. Enter and manage customer orders from placement to delivery, handling any modifications or cancellations.
- Primary Contact: Respond to inquiries, provide order updates, and resolve complaints for English and Spanish-speaking clients.
- Documentation & Support: Send daily shipping details (invoices, packing lists, tracking, export docs). Update customer profiles, provide quotes/proformas, and assist with domestic accounts.
- Carrier Scheduling: Arrange freight moves, schedule pick-ups/drop-offs, and monitor load status for on-time delivery using carriers like FedEx, DB Schenker, and Magic Transport.
- Warehouse Liaison: Work closely with warehouse personnel to ensure timely, accurate order fulfillment and shipping.
- Logistics Admin: Track active shipments, maintain digital transaction records, and scan/upload critical shipping documents like Bills of Lading (BOL).
- Issue Resolution: Proactively handle transit delays, carrier issues, and freight complaints to minimize disruptions.
- Reporting: Assist in generating regular reports on overall logistics and carrier performance.
