Job Summary The Payroll Manager is a highly reliable professional responsible for the end-to-end processing, compliance, and accuracy of the College’s payroll functions. We are seeking a career-progressive professional who brings 5+ years of hands-on payroll experience, paired with a highly coachable and trainable mindset. The ideal candidate excels under pressure, maintains strict confidentiality, and approaches legacy systems and new workflows with a growth-oriented attitude.
A key focus of this role will be mastering our current legacy environment while playing an active, collaborative role in supporting our transition to a new HRIS by calendar year-end. Qualifications Minimum Qualifications
- Bachelor’s degree in Accounting, Business Administration, or a related field.
- 5+ years of progressive, independent hands-on experience processing payroll, including a proven track record of career growth and a highly trainable, coachable attitude.
- Experience preparing and filing quarterly and annual payroll tax returns (941s, W-2s).
- Proficiency in Microsoft Excel for managing large datasets and budget lines.
- Exceptional attention to detail, analytical review skills, and accuracy across high-volume data entry and compliance reporting.
- Experience working in a Higher Education setting or a complex, multi-cycle payroll environment.
- Familiarity with federal university attendees aid compliance, including Federal Work-Study limits.
- Experience going through an HRIS/Payroll system implementation. Benefits & Perks

Responsibilities
Hands-On Payroll Processing
- End-to-End Execution: Manage and execute complex bi-weekly (staff/students), monthly (faculty/admin), and specialized summer payroll cycles, including all data entry for new hires, wages, taxes, and direct deposits.
- Employee Support: Serve as the primary point of contact across campus to resolve payroll-related inquiries with clarity and professionalism.
- Contract & Lifecycle Adjustments: Calculate and process final payouts, terminations, leave balances, and complex compensation adjustments (e.g., faculty overloads, grant pay, stipends, and annual salary increases).
- High-Volume Oversight: Provide essential support for the high-volume employment lifecycle, processing annual jobs, tracking Federal Work-Study limits, and applying summer allocations.
- Cross-Functional Tracking: Partner with HR to coordinate PTO/sick leave, retirement benefits tracking, open enrollment updates, and external agency disbursements (garnishments, tax levies).
- General Ledger & Reconciliations: Prepare and post monthly G/L entries for payroll accruals, complete monthly bank reconciliations for the payroll account, and allocate payroll to restricted or grant-funded accounts.
- Tax Filing: Prepare and file all 941 Quarterly/Year-End and state tax returns.
- Year-End Reporting: Oversee calendar year-end tax requirements, including generating, auditing, and distributing W-2 and 1095-C forms.
