Responsibilities
Front Office & Customer Service
- First Impressions: Greet and welcome clients, contractors, suppliers, and visitors with a professional, courteous, and helpful demeanor.
- Communication Management: Answer, screen, and route incoming phone calls through a multi-line system with high accuracy and proper phone etiquette.
- Visitor Controls: Maintain front desk security by managing the visitor logbook, checking safety compliance, and directing individuals to the appropriate personnel.
- Lobby Presentation: Keep the reception and common area tidy, organized, and presentable throughout the workday.
- Caller Tickets: Answer customer queries regarding product orders, delivery timelines, or scheduling, and systematically log details to generate internal "caller tickets" for the dispatch, sales, or logistics teams.
- Data Management (Excel): Utilize Microsoft Excel daily to accurately enter data, track customer requests, update administrative metrics, and maintain digital spreadsheets for office reporting.
- AP Inbox Management: Monitor, organize, and manage the central Accounts Payable email inbox.
- Invoice Handling: Download incoming vendor invoices, sort digital correspondence, route billing inquiries to the correct internal managers for approval, and assist with basic clerical AP follow-ups.
