Job Summary We are seeking a detail-oriented Compliance Documentation Specialist. In this role, you will manage, review, and maintain technical documentation and regulatory certificates from global suppliers. You will serve as the crucial liaison between our ingredient suppliers, sales team, and manufacturing clients to ensure all products comply with FDA guidelines and quality standards.
Qualifications
- Experience: 2–4 years in food safety, regulatory compliance, QA, or document control (food, beverage, or ingredient distribution industry highly preferred).
- Education: Degree in Food Science, Biology, Chemistry, or equivalent industry experience.
- Industry Knowledge: Familiarity with FDA regulations, FSMA, and GFSI guidelines (SQF, BRCGS).
- Skills: Exceptional attention to detail, organizational skills, advanced MS Excel, and exposure to ERP/QMS databases.

Responsibilities
Regulatory & Technical Documentation Management
- Request, track, and maintain essential supplier documents, including Specification Sheets, Certificates of Analysis (CoA), Allergen Statements, SDS (Safety Data Sheets), Nutritional Data, Country of Origin, and Flow Charts.
- Manage third-party certifications, including Kosher, Halal, Non-GMO Project Verified, Organic, and Gluten-Free documentation.
- Ensure all documentation aligns with FDA regulations, FSMA (FSVP compliance), and industry standards.
- Promptly respond to customer requests for technical, regulatory, and quality documentation.
- Coordinate directly with international and domestic ingredient manufacturers to audit, update, and replace expiring compliance files.
- Review raw material change notifications and communicate potential impacts to customer quality teams.
- Maintain an organized, up-to-date digital document repository, ensuring strict version control across all product files.
- Conduct periodic audits of existing supplier files to identify missing or outdated documents and resolve gaps proactively.
- Assist in preparing for internal, customer, and third-party regulatory audits or recall exercises.
