This role provides vital, high-level administrative partnership to the Head of Public Affairs and members of the divisional leadership team. The coordinator is responsible for maintaining fluid daily operations, driving project workflows, and managing complex scheduling demands across multiple departments.
The ideal candidate acts as an intuitive gatekeeper who can proactively anticipate executive needs, manage large-scale corporate event logistics, and navigate complex internal database systems with total discretion.

Responsibilities
Calendar & Meeting Management
- Executive Scheduling: Provide high-volume calendar management and scheduling support for the Senior Vice President and leadership team members, ensuring seamless coordination across internal and external departments.
- Meeting Preparation: Draft, review, and refine meeting materials, agendas, presentations, and spreadsheets.
- Logistics & Events: Serve as the main point of contact for internal conference and event services to coordinate room bookings, catering, AV needs, visitor access, and on-site logistics for large meetings and departmental retreats.
- Meeting Follow-up: Track attendance, take detailed notes, document action items, and proactively send deadline reminders to team members.
- Travel Coordination: Manage travel logistics and conference arrangements for leadership team members, including detailed itineraries and travel materials.
- Expense Management: Process expense reports for leadership and act as a resource for general staff expense questions.
- System Troubleshooting: Act as a departmental resource for navigating internal organizational software systems (such as HR databases, travel portals, and workflow/scheduling tools).
- Task Tracking: Maintain an efficient internal tracking system for open administrative tasks and provide regular status updates to the Associate Manager.
