Key Responsibilities
Front Desk & Reception Triage
- Welcoming all campus visitors, managing check-in procedures, and maintaining a clean, organized, and inviting lobby space.
- Executing daily opening and locking procedures for the One-Stop center.
- Coordinating campus shuttles and alerting internal teams when guests arrive.
- Utilizing de-escalation skills to warmly assist and resolve concerns for visitors or students needing extra support.
- Managing and routing incoming communication across calls, emails, web chats, and texts.
- Tracking inquiry data and updating databases/systems to log communication touchpoints.
- Collaboration regarding daily campus tour schedules to keep office teams informed.
- Assisting with scheduling virtual, hybrid, and in-person meetings and appointments.
- Monitoring office supply inventory, placing orders, and distributing incoming/outgoing mail.
- Tracking vendor and consultant records, invoices, and contracts.
- Assisting leadership with department reports, spreadsheets, workflow improvements, and special projects.
