In this role, you will manage core accounting tasks—including accounts payable/receivable, payroll support, and financial record-keeping—while keeping general office workflows, administrative procedures, and facility operations running smoothly. Key Responsibilities Financial & Accounting Operations:
- Manage daily Accounts Payable (A/P) and Accounts Receivable (A/R) processes, including invoicing, vendor payments, and collections.
- Perform accurate data entry, journal entries, and account reconciliations in QuickBooks.
- Assist with payroll preparation, timecard verification, and reporting.
- Maintain organized financial records, receipts, and audit-ready documentation.
- Support month-end closing activities and assist leadership with basic financial reporting.
- Oversee daily office workflows, administrative systems, and document management.
- Act as the primary point of contact for office vendors, building management, and facility maintenance.
- Monitor and reorder office, kitchen, and operational supplies to ensure seamless daily functioning.
- Assist with onboarding administrative logistics for new team members.
- Identify opportunities to streamline administrative procedures and improve overall operational workflow.
- Experience: 2+ years of hands-on bookkeeping, accounting, AP/AR and/or office administration experience.
- Software Proficiency: Hands-on proficiency in QuickBooks preferred (Desktop or Online), and Microsoft Office Suite (Excel, Word, Outlook) required.
- Financial Knowledge: Solid understanding of basic accounting principles (A/P, A/R, general ledger, payroll processing).
- Organization: Exceptional organizational skills, high attention to detail, and ability to prioritize multiple tasks in a fast-paced environment.
- Communication: Strong written and verbal communication skills with a professional customer-service mindset.
- Education: High School Diploma or GED required; Associate degree in Accounting, Finance, or Business Administration preferred.

Responsibilities
- Accounts Payable & Receivable: Process vendor invoices, reconcile expense receipts, issue client invoices, and track incoming payments to maintain healthy cash flow.
- General Ledger & Reconciliations: Perform monthly bank and credit card reconciliations; prepare basic balance sheet and income statement entries under guidance.
- Expense Management: Review employee expense reports for policy compliance and accurate chart-of-accounts coding.
- Office & Vendor Operations: Manage day-to-day office supplies, facilities upkeep, IT equipment tracking, and key third-party vendor contracts.
- Process Optimization: Identify operational bottlenecks and document standard operating procedures (SOPs) to streamline team workflows.
