Responsibilities
Key Responsibilities
Invoice & Payment Processing
- Process, verify, and code vendor invoices, check requests, and expense reports in compliance with company policies.
- Perform 3-way matching of purchase orders (POs), receiving documents, and vendor invoices.
- Prepare and execute weekly check runs, ACH payments, and wire transfers.
- Identify discrepancies, bill errors, or unauthorized charges and resolve them directly with vendors or department heads.
- Serve as the primary point of contact for internal and external accounts payable inquiries.
- Maintain vendor records, including updated contact info, payment terms, and tax documentation (Form W-9/W-8).
- Perform regular reconciliations of vendor statements to identify outstanding credits or past-due balances.
- Assist the accounting team with month-end and year-end closing processes.
- Track and report dynamic AP metrics, such as aging accounts, outstanding liabilities, and unapproved invoices.
- Assist in preparing annual 1099-MISC / 1099-NEC filings.
- Support internal and external financial audit requests by compiling supporting documentation.
