We are seeking a highly skilled and professional Executive Assistant with experience supporting C-Level employees and providing critical administrative and strategic support to the executive leadership. This role requires exceptional organizational, communication, and interpersonal skills and will serve as a key liaison between the CIO's office and high-level internal and external stakeholders, including the City Manager, Deputy City Manager, other C-level executives, department heads, and community partners.
This position demands discretion, a proactive mindset, and the ability to manage complex schedules, sensitive information, and high-priority communications. The successful candidate will demonstrate the ability to protect and optimize the CIO's time and serve as a trusted representative of the office.
Key Responsibilities:
- Provide high-level executive administrative support to the CIO, including calendar management, meeting preparation, travel coordination, and expense processing.
- Serve as a primary point of contact for internal and external stakeholders on all matters pertaining to the CIO's office.
- Manage incoming communications, prioritize issues, and ensure timely responses and follow-up, often acting on behalf of the CIO.
- Coordinate and support executive-level meetings, including agenda creation, documentation, logistics, and post-meeting follow-ups.
- Draft, review, and edit correspondence, reports, presentations, and other communications for clarity, accuracy, and professionalism.
- Proactively manage the CIO's schedule to ensure alignment with departmental priorities and strategic initiatives.
- Liaise regularly with the City Manager's Office, Deputy City Manager, department leadership, and executive peers on confidential and time-sensitive matters.
- Track key departmental deadlines, initiatives, and deliverables, ensuring the CIO is informed and prepared.
- Maintain the highest level of discretion and confidentiality in handling sensitive organizational and personnel matters.
- Support departmental culture and leadership by acting as a resource and representative of the CIO's office in a professional and service-oriented manner.
- Handle special projects and assignments as needed with a high degree of autonomy and effectiveness.
Education & Experience:
- Associate's degree required; Bachelor's degree in Public Administration, Business, Information Technology, or related field preferred.
- Minimum of 5 years of executive-level administrative experience, preferably supporting senior leadership in a government or large organizational setting.
- Experience interacting with executive leaders, elected officials, or municipal leadership highly desirable.
- Exceptional organizational and time-management skills with the ability to multitask and prioritize competing demands.
- Strong written and verbal communication skills, including the ability to draft and edit professional correspondence and documentation.
- Ability to work independently and exercise sound judgment in high-pressure or ambiguous situations.
- High level of integrity and discretion in handling confidential and sensitive information.
- Technologically savvy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), virtual meeting tools, and project management platforms.
- Professional demeanor and ability to build positive relationships across all levels of the organization.
- Standard office setting with occasional need to attend off-site meetings or events.
- This position may require limited after-hours availability to support executive-level commitments or emergencies.
