Master the Flow: Efficiently route mail, emails, and voice messages to the correct parties and manage all outgoing USPS, UPS, and messenger services. Transaction & Financial Support Drive the Deal: Partner with the Office Manager to process vital sales and rental paperwork, ensuring every file is tracked, scanned, and filed correctly. Financial Integrity: Manage office invoices and assist the Senior Managing Director (SMD) with monthly expense reports and payment submissions. Agent & System Support Systems Expert: Become the resident pro on our proprietary systems, assisting agents with marketing collateral, listing databases, and digital deal submissions. Market Reporting: Maintain our office exclusive listings and generate the weekly and monthly spreadsheets that keep our team informed. Office Operations & Admin Meeting Lead: Attend sales meetings (virtually) to produce and distribute accurate minutes. Workspace Management: Keep the office humming by managing inventory (supplies/beverages), coordinating facility repairs, and ensuring all office equipment is mission-ready.
