Process billing, attach payment records to invoices, maintain billing trackers, and email statements to clients and the Accounting Manager. Open new plumbing jobs in QuickBooks and update the job list tracker to maintain accurate project records. PDF sign Subcontract Agreements, renew business licenses, and request Certificates of Insurance for contractors. Handle all incoming mail, packages, and phone calls; manage supplier communications via Outlook. Process bid requests, estimates, change orders, and purchase orders; price and place orders for plumbing materials and supplies. Manage employee schedules for plumbers, review timesheets, and prepare payroll submissions to PAYCHEX. Support all other daily office administrative and operational tasks as needed. Required Skills & Qualifications: Expert in QuickBooks Enterprise Solutions for job costing and billing. Advanced proficiency in Microsoft Office 365 (Outlook, Excel, Word). Expert in Adobe PDF for document management and electronic signatures. Organizational and multitasking skills with meticulous attention to detail. Excellent written and verbal communication skills. Ability to handle confidential financial and administrative information with accuracy. Prior experience in the plumbing, construction, or trades industry is a plus.
