Must-Have Critical Skills: Experience: Minimum 3+ years of experience in an administrative support or office operations role. Comfort working in a Windows environment with a proven ability to learn new tools (e.g., SAP Casual Buyer, SharePoint, Coupa). Communication & Interpersonal Savvy: Excellent written and verbal communication skills for professional email and document drafting. Highly collaborative team player with strong interpersonal skills. Calendar & Meeting Management: Manage complex calendars, schedule meetings, reserve conference rooms, and set up virtual/video calls (MS Teams), ensuring optimal time management for focus and travel. Travel Coordination: Arrange comprehensive domestic and multi-city travel itineraries, proactively accounting for time zones, potential delays, traffic, and traveler fatigue. Expense & Document Control: Prepare, process, and track expense reports, purchase orders (POs), and vendor contracts. Draft and edit professional correspondence and prepare presentation materials. Office & Budget Operations: Maintain office supplies and act as a "casual buyer" for the department. Own specific regular reporting and data summaries from start to finish. Team Collaboration: Assist with onboarding new employees as a welcoming point of contact. Work seamlessly alongside a team of support professionals, stepping in as backup coverage for other assistants when needed.
