Essential Duties and Responsibilities
- Provide direct assistance with the daily Accounts Payable (AP) workload, managing tasks and special projects as requested by the AP Supervisor.
- Confirm and process VISA/Credit Card reconciliations, ensuring all charges include a detailed description, supporting receipts, and proper authorization/approval.
- Accurately enter high-volume VISA charges and vendor invoices into the AP accounting system.
- Maintain meticulous financial records by filing AP invoices and supporting documentation within the Document Management System.
- Ensure all vendor invoices and payment requests adhere to firm financial policies and procedures.
Knowledge, Skills, and Abilities Required
- Education: College (Associate's or Bachelor’s) degree required.
- Technical Proficiency:
- Experience using a legal billing system (e.g., 3E preferred).
- Proficiency with MS Office, particularly MS Excel, for data management and reporting.

- Attention to detail, impecible written communication and a commitment to high data accuracy.
- Exceptional ability to multi-task, prioritize, and organize workflow to use time efficiently.
- Proven capability to perform at a high level in a demanding, fast-paced, and deadline-driven environment.
- Advanced communication and interpersonal skills for effective interaction with vendors and internal staff.
- Adaptability to ever-changing work priorities and procedures.

Responsibilities
- High-Volume AP Processing: Proven ability to accurately manage the end-to-end reconciliation of credit card charges and vendor invoices in a fast-paced, deadline-driven environment.
- Legal or Professional Services Experience: Prior experience navigating the specific billing nuances of a legal or professional services firm, ideally including exposure to 3E or similar legal billing software.
- MS Excel & Technical Literacy: Advanced proficiency in MS Excel for data management, alongside the ability to maintain meticulous digital records within a Document Management System.
- Policy Compliance & Detail Orientation: A strict commitment to financial accuracy, ensuring every transaction includes proper descriptions, receipts, and adherence to firm-wide authorization protocols.
