Responsibilities
- Answering project-related inquiries and managing correspondence between Owners, Architects, and Engineers.
- Maintaining organized digital and physical project files (the "Project Bible").
- Navigating the COJ permitting portals and Building Inspection Division requirements.
- Processing expense reports, credit card reconciliations, and field staff time-tracking.
- Coordinating with MEP (Mechanical, Electrical, Plumbing) subs to ensure all trade permits are pulled and linked.
- Tracking permit status to prevent schedule delays and managing Notice of Commencements (NOCs).
- Building and distributing comprehensive Bid Packages (plans, specs, and scopes of work).
- Managing "Plan Rooms" and ensuring all bidders are working off the most current architectural revisions.
- Assisting in the leveling of bids to ensure "apples-to-apples" comparisons for the Project Manager.
- Acting as the primary point of contact for sub-tier vendors regarding paperwork and compliance.
- Managing the onboarding process, ensuring all Subcontractor Agreements are signed and stored.
- Tracking Certificates of Insurance (COI) and ensuring no sub steps foot on site without active coverage.
- Managing the RFI (Request for Information) and Submittal process through the project lifecycle.
- Maintaining the "Project Bible" and processing monthly Lien Waivers and pay applications ($G702/703$).
- Driving the Punch List to 100% completion and compiling O&M Manuals for final handover.
