We are looking for a versatile and highly organized Office Coordinator to serve as the backbone of our daily operations. This role is unique; it requires a blend of traditional administrative support and precise financial record-keeping. You will be the first point of contact for our clients and the primary steward of our office environment, ensuring that both our physical space and our financial books are in excellent order.
Key Responsibilities
I. Office Administration & Facilities Management
- Reception & Communication: Act as the primary gatekeeper, managing high-volume phone lines, greeting guests, and handling all incoming/outgoing mail and deliveries.
- Operational Oversight: Ensure the office runs smoothly by managing inventory for office and kitchen supplies, coordinating with vendors (janitorial, HVAC, IT), and maintaining equipment.
- Executive Support: Assist leadership with calendar management, travel arrangements, and the preparation of meeting materials or slide decks.
- Document Management: Maintain a sophisticated digital and physical filing system to ensure data security and easy retrieval of company records.
- Accounts Payable (AP): Process vendor invoices, verify approvals, and schedule payments ensuring all accounts stay current and within terms.
- Accounts Receivable (AR): Generate and send client invoices, monitor aging reports, and perform polite but firm collection follow-ups when necessary.
