- Experience: 3–5+ years of dedicated experience as an Administrative Assistant, Executive Assistant, or Office Manager—ideally within financial services, wealth management, corporate law, or a highly corporate environment.
- Polished Professionalism: Exceptional verbal and written communication skills. You must possess a high level of executive presence, a calm demeanor under pressure, and a sharp eye for detail.
- Urgency & Availability: Must be ready to fully onboard and start within 2 weeks of accepting an offer.
- Technical Savvy: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and standard executive scheduling tools.
- Commitment: Ability to work on-site Monday through Friday, fully committing to an 8:00 a.m. – 5:00 p.m. schedule (with flexibility for up to 45 hours weekly as business dictates).

Responsibilities
- C-Suite Support: Act as the primary administrative point of contact for a C-suite executive, managing complex daily schedules, calendar invitations, and meeting requests.
- Polished Gatekeeping: Greet high-net-worth clients, investors, and external stakeholders over the phone and in person with the utmost professionalism and discretion.
- Travel & Expense Coordination: Arrange detailed domestic and international travel itineraries, manage commercial and private flight logistics, and accurately process monthly executive expense reports.
- Document Management: Draft, edit, and proofread high-level correspondence, presentations, and confidential reports. Ensure all executive-level documentation is impeccably formatted.
- Meeting & Event Prep: Coordinate executive-level board meetings, secure conference rooms, arrange catering, and prepare digital or physical briefing materials ahead of time.
