Responsibilities

Key Responsibilities:

• Invoice Verification & Entry: Review, code, and process incoming vendor invoices and expense reports with high accuracy using three-way matching (purchase orders, receipts, and invoices).
  
  
• Payment Scheduling & Execution: Schedule and execute timely vendor payments via ACH, check, wire transfer, or credit card while maximizing early-payment discounts.
  
  
• Vendor Relationship Management: Maintain up-to-date vendor files (W-9s, tax IDs, payment details), resolve invoice discrepancies, and field vendor payment inquiries.
  
  
• Account Reconciliation: Reconcile vendor statements, credit card statements, and monthly AP ledger balances against the general ledger.
  
  
• Preferred Software & Tool Proficiency:
  
  
• Accounting & ERP Systems: Experience with platforms such as QuickBooks, NetSuite, or SAP..
  
  
• Spreadsheets: Proficiency in Microsoft Excel or Google Sheets (VLOOKUP/XLOOKUP, PivotTables) for payment tracking and reporting.
