The ideal candidate is a project coordinator who can manage multiple moving pieces, communicate effectively with a variety of stakeholders, and keep complex projects on track. While prior webcast or video production experience is highly preferred, candidates with project management, marketing, communications, events, or production coordination backgrounds are encouraged to apply.
Contract Duration: 9 months, through June 2027 Schedule: Hybrid, with onsite production days required (days when live production work is taking place) What We're Looking For:
- Project management or project coordination experience.
- Excellent organizational skills and exceptional attention to detail.
- Ability to manage multiple projects, deadlines, and stakeholders simultaneously.
- Written and verbal communication skills.
- Comfortable working in a fast-paced environment where priorities and requirements may change.
- Experience working within a large or complex organization is strongly preferred.
- Background in marketing, communications, events, webcasts, video production, multimedia, or project coordination is a plus.
- Webcast or live-production experience is highly preferred, but not required.
- Follow-through and the ability to anticipate and address potential issues before they impact a project.
- High school diploma required.

Responsibilities
- Coordinate the planning and execution of webcasts, video shoots, and related multimedia projects.
- Manage detailed production checklists and project "run books" containing 200+ production tasks and requirements.
- Maintain project trackers, timelines, schedules, and status updates.
- Coordinate with marketers, business leaders, speakers, vendors, and internal production teams.
- Prepare meeting agendas, document meeting recaps, and track action items through completion.
- Support speaker preparation, production scheduling, and shoot logistics.
- Route materials for review and ensure appropriate follow-up on feedback and approvals.
- Manage files, version control, naming conventions, and shared-drive organization.
- Provide weekly updates on priorities, project risks, next steps, and decisions requiring attention.
- Help identify changes, risks, and process gaps and ensure appropriate follow-up.
- Support consistent team processes and ways of working across multiple projects.
- Balance competing priorities and deadlines while maintaining a high level of attention to detail.
