Mail & Logistics: Handle incoming and outgoing mail, packages, and deliveries (USPS, FedEx, UPS); coordinate messenger or courier services as needed. Facilities Maintenance: Ensure communal areas—including the reception desk, conference rooms, and breakrooms—are clean, stocked, and presentable throughout the day. Vendor Coordination: Assist with managing local facility vendors (building maintenance, janitorial staff, office catering, and equipment repair). Administrative & Operational Assistance Supply & Inventory Management: Monitor office and kitchen supply levels, track inventory, and place routine orders within budget guidelines. Scheduling & Meeting Prep: Coordinate internal and external meetings, reserve conference rooms, and arrange catering or AV equipment as needed. Document & Data Support: Assist teams with document formatting, filing (physical and electronic), scanning, data entry, and basic report preparation. Travel & Expense Support: Aid in arranging local or regional travel logistics and processing monthly expense reports or office invoices. Onboarding Logistics: Work with HR and IT to prepare workstations, badges, and welcome materials for new hires starting in the Columbia office.
