Your Mission (Should You Choose to Accept It):
- Executive Command Center: Masterfully manage calls, messages, and the flow of information for our top R&I leaders. You'll anticipate their needs and act with precision.
- Presentation Powerhouse & Spreadsheet Sorcerer: Craft compelling memos, dynamic presentations, and organized spreadsheets using your Microsoft Office superpowers (especially Excel, Word, Outlook, and PowerPoint!).
- Meeting Maestro: Seamlessly schedule and set up meetings and conferences, both on our campus and across the globe. Your exceptional communication and knowledge of our facilities will ensure every event is a success.
- Financial Fortress: Efficiently process expense reports, ensuring accuracy and timely submissions.
- Logistics Legend: Handle all shipping and receiving needs with speed and accuracy.
- Proven proficiency in Microsoft Office Suite - most importantly PowerPpoint – you're not just familiar; you're an expert!
- Exceptional communication, organizational, and follow-up skills that shine across cultures.
- Impeccable interpersonal skills and professionalism – you know how to connect with people at all levels.
- The ability to thrive in a fast-paced, ever-changing environment with a positive attitude and a supportive team spirit.
- A minimum of 5 years of experience as an Executive Assistant or Administrative Assistant, with a preference for supporting senior-level executives and international stakeholders.
- Experience handling confidential information and navigating compliance policies with discretion.
- Prior experience (at least 3-6 months) in an R&D and/or Testing environment preferred

Responsibilities
Executive Support & Calendar Management
- Manage complex calendars, schedule meetings, and prepare agendas for R&I executive staff.
- Coordinate on-site and off-site conferences globally, ensuring seamless communication with internal and external stakeholders.
- Handle high-priority phone calls and messages with a strong sense of urgency and understanding of executive needs.
- Manage conference room schedules, resolving conflicts and providing technical support for audiovisual equipment.
- Lead event planning for site tours, town halls, and R&I engagement activities.
- Facilitate travel arrangements, including detailed itineraries and required documentation (visas, passports, invitation letters).
- Create memos, presentations, and spreadsheets using Microsoft Office applications.
- Process invoices, expense reports, and office supply orders for R&I Vice Presidents.
- Route and track sensitive documents for signature, including project requests and internal memos.
- Maintain department organizational charts and log attendance records accurately.
- Execute shipping requests (UPS/FedEx) and manage departmental procedures.
- Provide cross-coverage for team members to ensure uninterrupted business operations.
- Apply deep knowledge of company policies to resolve operational issues proactively.
